How Much Does Bookkeeping Cost in Canada? 2026 Guide
Bookkeeping costs depend on the work your business needs, the number of transactions and accounts, and the condition of your records. A useful quote explains what will be completed each month, what you must provide and what falls outside the fee.
For Canadian service businesses using QuickBooks Online, SHALALA’s monthly bookkeeping plans are CAD $249, $349 and $499. Your QuickBooks Online subscription is a separate client expense. Catch-up work is quoted separately when otherwise workable books are behind.
Fixed monthly or hourly bookkeeping?
A fixed monthly fee gives you a predictable cost for an agreed scope. Compare the transaction allowance, bank and credit-card account allowance, reporting and communication included in the plan. Ask how a change in volume or scope will be handled before you accept the engagement.
An hourly quote describes the rate for time spent. To assess it, ask what work is included, how time is recorded, whether an estimate is available and how additional work is approved. An hourly rate alone does not tell you the likely total bill.
Choose the approach that makes responsibilities and the expected work clear. The lowest headline price is difficult to assess if reconciliations, month-end reporting or catch-up work are not addressed.
What affects the cost?
Transaction volume
More activity means more records to categorize, match and reconcile, along with more questions or exceptions to resolve. Ask the provider how it counts transactions. Bank transfers, invoices, payments and split entries can affect the count depending on the agreed method, so confirm the definition before comparing allowances.
For SHALALA, one QBO financial record counts once. Invoices and later payments count separately; matching an existing record to the bank feed does not add another transaction. Read the counting policy and example before comparing plan allowances.
Bank and credit-card accounts
Each account needs to be reconciled against its source records. Transaction volume and account count should both be considered when assessing a plan. A business with modest activity across several accounts may have different needs from one using a single account.
The condition of the books
Recurring bookkeeping and catch-up bookkeeping are different pieces of work. When recent months are behind but the underlying file is workable, a separate catch-up quote can establish what must be completed before monthly service starts.
Major historical reconstruction, unresolved prior-year issues or questions requiring accounting or tax interpretation need the client’s accountant or an appropriate specialist. They should not be assumed to fit a routine monthly bookkeeping fee.
Complexity and source records
Inventory, multi-currency activity, job costing, multiple entities and specialized industry requirements change the nature of the work. SHALALA serves Canadian service businesses with primarily Canadian-dollar activity and no significant inventory.
Complete, accurate and timely source records also matter. Missing information needs to be resolved before reconciliations and the bookkeeping period can be completed.
Where does QuickBooks Online fit?
Software and bookkeeping service are separate expenses. With SHALALA, you maintain and pay for your own QuickBooks Online subscription. SHALALA works in your QBO file through accountant access. You retain your records and continuity, and your external accountant can continue working with the file.
Choose a QBO subscription appropriate to your business and confirm its current price with Intuit. Do not assume a bookkeeper’s advertised monthly fee includes the software. Never share your QBO password; access is arranged through the secure onboarding workflow.
Payroll, GST/HST and year-end work
Ask about the actual tasks, rather than relying on a broad label such as “payroll support” or “GST/HST included.”
SHALALA’s payroll bookkeeping is limited to journal entries based on reports supplied by the client’s payroll provider, where included in the agreed scope. SHALALA does not run or process payroll.
GST/HST recording and tracking are bookkeeping tasks. Preparing a GST/HST return and filing it with CRA are separate responsibilities. SHALALA’s bookkeeping service does not include return preparation or filing; you or your accountant handles those tasks.
At year end, organized and reconciled bookkeeping records give your accountant a clearer starting point. SHALALA provides accountant-ready records and QBO-generated reports. Your accountant continues handling tax returns, year-end accounting and advice. Bookkeeping reports do not provide assurance or a professional accounting opinion.
SHALALA’s monthly bookkeeping plans
| Plan | Monthly fee, CAD | Monthly transactions | Bank / credit-card accounts |
|---|---|---|---|
| Essential | $249 | Up to 75 | Up to 2 |
| Growth | $349 | 76 to 150 | Up to 3 |
| Established | $499 | 151 to 300 | Up to 5 |
The recurring service includes transaction categorization, bank and credit-card reconciliations, GST/HST recording and tracking where applicable, monthly bookkeeping close, QBO-generated Profit & Loss and Balance Sheet reports, written support and accountant-ready records within the agreed scope.
Your QBO subscription is separate. Catch-up work is quoted in writing based on the backlog, transaction volume, account count and available records. Plan fit, scope and responsibilities are confirmed before work begins.

What should you ask before choosing a bookkeeper?
- What recurring work is included, and what is excluded?
- How are transactions counted, and how many accounts are included?
- Is the accounting software a separate expense?
- Do my books need catch-up work before monthly service starts?
- Who prepares and files returns, and what does my accountant receive at year end?
- How are questions handled, and what are the engagement and cancellation terms?
SHALALA is designed for Canadian service businesses that prefer remote bookkeeping handled online and in writing. If that sounds like your business, see if we’re a fit. The assessment collects business-level information only. Sensitive records are requested after acceptance and secure onboarding.
